Position Summary
The Office Manager oversees daily operations, patient experience, administrative workflows, and team coordination across the practice. This role requires a hands‑on leader who is organized, approachable, and skilled at building systems that support both current operations and future multi‑location growth.
Key Responsibilities
Operational Leadership

Oversee daily front‑office and administrative operations to ensure smooth patient flow

Build, refine, and implement office processes and SOPs suitable for a growing startup

Manage scheduling for providers, staff, and patient appointments

Coordinate with clinical teams to optimize workflow and efficiency

Support operational readiness for new services, equipment, and technology
Patient Experience & Issue Resolution

Maintain a warm, professional, hospitality‑driven patient experience

Handle escalated patient concerns and complaints with empathy and problem‑solving

Monitor patient feedback and drive continuous improvement initiatives
Team Leadership & Culture

Lead, motivate, and support front‑office staff with clear expectations and coaching

Foster a positive, approachable, and accountable team culture

Assist with onboarding, training, and performance management
Administrative & Financial Support

Manage basic accounting tasks, including invoicing, payment reconciliation, and reporting

Support payroll processing and timekeeping accuracy

Oversee insurance verification, billing coordination, and financial workflows

Maintain compliance with regulatory, privacy, and safety standards
Multi‑Location Support

Assist in coordinating operations across additional locations as the practice expands

Ensure consistency in patient experience, workflows, and service standards

Support leadership in planning and executing multi‑site operational strategies
Qualifications
-
Minimum 3 years of experience as an Office Manager in a dental practice

Strong understanding of dental workflows, scheduling, insurance processes, and patient communication

Experience with basic accounting, payroll, and administrative reporting

Proven leadership skills with the ability to motivate and develop staff

Highly organized, proactive, and comfortable building structure in a startup environment

Excellent communication, conflict‑resolution, and customer‑service skills

Experience supporting or overseeing multiple locations is a plus

Tech‑savvy and adaptable to new systems and tools
